Job Summary

Reporting to the Director, Stakeholder and Commercial Relations (SCR), the Stakeholder Programs coordinator will support all coordination activities in support of the Stakeholder Relations Program.This includes coordinating all aspects of large-scale meetings hosted by NAV CANADA or by industry stakeholders where NAV CANADA presents (ex.: participation, documentation repository, action item follow-up, etc.). The successful incumbent will interface with and provide assistance to internal and external stakeholders, at national and international levels in relation to meetings, events and forums. They are also accountable for the development and updating of unit procedures manuals, corresponding process workflows, and other documents describing processes such as Terms of Reference for national level working groups, under the direction of the Director, Stakeholder and Commercial Relations (SCR).

Key Accountabilities:

  • Responsible for creating and managing an electronic document repository for materials related to internal and external large-scale stakeholder meetings in support of the Stakeholder Relations Program. This includes creating checklists for the consistent conduct of these meetings; assembling material (agenda, presentations,) in preparation for these meetings; maintaining the list of members/attendees; tracking of and following-up on Action Items; and packaging and sharing post-meeting information internally and externally.
  • Reviewing, updating, rewriting and/or creating documentation required to support the SCR group. This includes developing procedures manuals; collecting, recording, and suggesting amendments to existing manuals and producing updated versions; meeting established publishing deadlines; documenting processes and designing workflows representative of business processes; creating templates and checklists; contributing to the development of dashboards; and ensuring standardization in language and format.
  • Conducting research assignments and preparing project reports or documents using desktop publishing tools. This includes analysing the information and formulating recommendations for management on how to proceed.
  • Researching, developing and retaining an extensive national contacts database and calendar of industry events.
  • Liaising with internal and external contacts on a national scale on a variety of initiatives.
  • Supports SCR team members for SharePoint Online related issues.
  • Other related duties from a functional perspective.

Job Requirements

Education:

  • Post secondary education in a related field of study such as professional writing, project coordination, event planning, or others or a minimum of 5 years’ related experience.
  • PMP or CAPM certification (asset).

Experience:

  • Experience in coordinating and planning aspects of large-scale meetings, events and sponsorships.
  • Experience conducting background research to analyze and synthesize a broad range of issues pertaining to the provision of program coordination services.
  • Experience in writing topic-based content in multiple formats to support consistent messaging.
  • Operational experience in the aviation industry may be considered an asset.

Knowledge:

  • Specialised knowledge of methods, techniques and practices related to general administration, scheduling and planning of work, progress tracking, information flow management, research and analysis.
  • Knowledge of coordinating and planning aspects of large-scale meetings and events.
  • Advanced knowledge of MS365 Office Suite including Word, Excel, PowerPoint, Outlook, SharePoint Online, Forms and good knowledge of MS Project and Adobe ProSuite.
  • Knowledge of NAV CANADA’s mandate and role, awareness of priorities and operational processes.
  • Knowledge of project management.
  • Basic knowledge of aviation industry and terminology.

Abilities:

  • Ability to plan, organize and schedule to effectively prioritize and complete tasks in a timely manner (Includes managing one&39;s own time and the time of others). Convert complex information into clear, concise, plain language.
  • Ability to develop correspondence, reports, backgrounders, presentation material and other products.
  • Ability to perform web-based research, optimizing search engine capabilities and information seeking tools to locate current, credible and topic-relevant information on the web.
  • Communicate effectively orally and in writing for the intended purpose and audience.
  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
  • Ability to facilitate review sessions with management.
  • Adapt to changing priorities, work under minimal supervision, work in both team and individual settings and handle multiple concurrent tasks.

Personal Suitability:

  • Strong interpersonal skills to maintain effective relationships, tact, diplomacy, discretion, dependability and judgement.
  • Initiative and ability to work under pressure, under changing circumstances, often involving conflicting priorities and tight deadlines.
  • Attention to detail over prolonged periods.

Working conditions:

  • This position is a hybrid position with a minimum 3 days per week on site
  • May be required to travel for training and offsite meetings.
