Primary Objective of the Position:

The Planning Administrator is responsible for developing and coordinating maintenance schedules that keep our fleet compliant, reliable, and operationally efficient. You will ensure that all plans meet maintenance program, manufacturer, and regulatory requirements, while balancing operational needs and commercial priorities.

Principal Duties and Responsibilities:

  • Generate and maintain the short, medium, and long-term maintenance plans for the fleet.
  • Generate and manage aircraft maintenance schedules, including heavy checks, line maintenance, and component changes.
  • Accurately maintain and update maintenance plans for company and contracted aircraft.
  • Create, maintain and adjust aircraft inspection packages. (Set up work cards, check sheets, inspections).
  • Generate work orders, task cards, and work packages for scheduled checks.
  • Maintain work cards, check sheets and other inspection sheets and files.
  • Liaison with Material Stores for Parts and Tooling capabilities and availability.
  • Generate and issue work orders or work packages for upcoming checks.
  • Ensure required parts, tooling, manuals, and manpower are available before maintenance starts.
  • Coordinate with the operations group to maximize ground time opportunities for maintenance requirements to minimize operations disruptions.
  • Adjust maintenance schedules based on operational changes, AOG events, or unplanned defects.
  • Provide planning support to maintenance teams during maintenance events.
  • Monitor compliance with Airworthiness Directives (ADs), Service Bulletins (SBs), and company Maintenance Control Manual (MCM) requirements.
  • Maintain accurate entries for compliance and tracking within the approved maintenance system.
  • Escalate unresolved planning or scheduling issues to the Manager.
  • Knowledge and understanding of safety issues including the support of the SMS program.
  • Produce reports on upcoming tasks, deferred defects, and utilization trends.
  • Provide regular updates and forecasts to management on fleet airworthiness and scheduled maintenance windows.
  • Support audits, inspections, and compliance reviews by internal and external regulatory bodies.
  • Perform daily Engine Health Monitoring entries to ensure program data is accurate and up to date.
  • Comply with the Safety Management System (SMS) and safety policies, procedures and standards.
  • Proactively complete all required initial and recurrent training outlined in the companys training and development programs, ensuring adherence to established timelines.
  • Ensure a clean and safe workplace for all team members.
  • Perform any additional duties and projects assigned.

Minimum Qualifications:

  • Post-secondary education in Aircraft Maintenance, Aviation Management, or related field.
  • Minimum 3 years of experience in maintenance planning, preferably in a 705 commercial operation.
  • Strong knowledge of Canadian Aviation Regulations and Transport Canada compliance requirements.
  • Experience with aircraft maintenance tracking systems.
  • Excellent organizational, time management, and communication skills.
  • Technical Knowledge of aircraft systems, maintenance procedures, and regulations.
  • Planning & Organization to manage multiple aircraft and timeframes simultaneously.
  • Communication to align engineering, maintenance crews, and operations.
  • Analytical Skills for interpreting fleet utilization data and anticipating maintenance needs.
  • Attention to Detail to ensure nothing is missed that could ground an aircraft.
